Magic Mirror Photo Booth Setup Checklist and Timing
Updated November 2026 · 4 min read
Plan to arrive about 100 minutes before guests for a magic mirror, with the mirror positioned, stabilized and powered by the 60-minute mark, then 20 minutes for camera and touch calibration and 10 for print tests. A mirror takes longer than other booths because it moves on a dolly with two people and has three systems to check: camera, touch screen and printer.
Below is the order, timing and checks that keep a mirror looking like furniture and printing all night.
The mirror setup timeline
| Phase | Minutes | Clock vs guest start |
|---|---|---|
| Arrive, check in, walk the space, measure doorways | 10 | T-100 to T-90 |
| Unload with a dolly, two people | 15 | T-90 to T-75 |
| Position mirror, backdrop, print station, power | 15 | T-75 to T-60 |
| Boot, camera calibration, touch calibration | 20 | T-60 to T-40 |
| Print tests and media check | 10 | T-40 to T-30 |
| Props, signage, guest book, tidy | 10 | T-30 to T-20 |
| Change and get ready | 20 | T-20 to T-0 |
Sixty minutes of access before guests is the contractual floor; this timeline needs 100, plus a clear route for a dolly, so confirm load-in time and door widths with the venue in advance.
Positioning without reflections
- Back the mirror against a wall or the edge of the space.
- Face it toward the backdrop from 8 to 10 ft away. Full-length shots need more distance than an iPad booth.
- Keep it from facing windows, uplighting or bright exit signs, which will reflect in the glass.
- Level the floor, extend the anti-tip feet, and push lightly at the top corner. It shouldn't rock.
- Put the printer on a draped table beside the mirror, away from HVAC vents and drinks.
- Plug the mirror and printer into the dedicated circuit through a surge protector.
Ask the DJ to keep moving lights and uplighting off the mirror's face. It's a 30-second conversation that saves a night of washed-out images.
Camera and touch calibration
Set the camera in manual mode and leave it there:
- Shutter: 1/125 to 1/160 s with flash, 1/125 to 1/200 s with continuous LED.
- Aperture: f/5.6 to f/8 for groups, f/4 for one or two people.
- ISO: 100 to 400 with flash, 400 to 1600 with LED.
- White balance: a fixed Kelvin that matches your lights.
- Focus: single autofocus with face detection, or manual focus pre-set to the guest mark.
- Image review off, auto power-off disabled.
Put the guest mark 6 to 7 ft from the mirror. Test full-length framing with one person, arms raised, then with four people side by side.
Then run the software's touch calibration, tapping all four corners and the center. A misaligned touch layer is the top cause of "the mirror isn't responding." Finish by playing a full session and setting the voice prompts loud enough to hear at 6 ft, no louder than the room.
Print station checks
Load a fresh roll if the loaded one won't cover the planned count. Plan roughly 1 to 1.5 prints per guest for unlimited packages, or half the guest count for one print per session. Media carried in from a cold vehicle needs about 30 minutes to warm up before loading, or it can curl and jam.
Run two test prints and look at the color and the cut line. Here's an excerpt of the final check:
- Mirror stable, anti-tip engaged
- Touch verified in all four corners
- No reflections visible from the guest mark
- Two test prints with correct color and cut
- Spare media on site
Teardown in about 35 minutes
End the session and confirm images are saved and uploaded. Pause the printer; leave media loaded with the door closed for transport, or remove it if it's more useful elsewhere. Shut the computer down properly, never by pulling the plug. Lock and cap the camera or remove it if your mirror requires that for transport. Clean the glass by spraying cleaner on a microfiber cloth, not on the glass. Cover the mirror, strap it to the dolly, and move it with two people.
Questions operators ask
Can one person set up a magic mirror?
The lift is a two-person job, every time. One trained attendant can handle calibration and the event, but someone needs to meet them for load-in and load-out, whether that's you or a paid helper.
What if the venue has stairs or a narrow door?
Ask about the route when you book: the narrowest door, any stairs, the elevator size and the load-in entrance. A standard interior door leaves only about 32 to 34 inches of clear opening, so measure your mirror in its case.
How do I get rid of glare in the mirror?
Move lights above and to the side of the mirror, aimed down at the guest mark, and check from the guest's spot and in a test shot. If a venue light you can't control still reflects, turn the mirror 10 to 15 degrees.
When should I change the print media during the event?
When the counter shows about 40 prints left and traffic is quiet, such as during dinner or speeches. A change takes 3 to 5 minutes; running out during the post-dinner rush is what you're avoiding.
