iPad Photo Booth Setup Checklist and Timing
Updated November 2026 · 4 min read
An iPad photo booth should be built and powered 45 minutes before guests arrive and fully tested by the 30-minute mark, which means pulling up about 85 minutes before start. A practiced crew builds the booth itself in 20 to 30 minutes; the rest of the window covers the backdrop, testing and a buffer for venue surprises.
Here's the order that works, with the checks that catch problems before a guest does.
The iPad setup timeline
| Phase | Minutes | Clock vs guest start |
|---|---|---|
| Arrive, check in, walk the space | 10 | T-85 to T-75 |
| Unload and stage gear | 10 | T-75 to T-65 |
| Backdrop and stanchions | 10 | T-65 to T-55 |
| Booth shell, iPad, light, power | 10 | T-55 to T-45 |
| Software check and test sessions | 15 | T-45 to T-30 |
| Props table, signage, final tidy | 10 | T-30 to T-20 |
| Change, break, ready | 20 | T-20 to T-0 |
The 45 minutes of access in a standard rental agreement isn't enough for this timeline, which starts at 85. Confirm the earlier load-in with the venue a month out.
Placement: booth, backdrop and line
- Put the backdrop against a wall or in a corner, never in the main walkway.
- Face the booth toward the backdrop from 6 to 8 ft away.
- Let the line form along a wall, not across a doorway.
- Keep the props table 3 to 5 ft to the side, not between the booth and backdrop.
- Plan for a 10 x 10 ft area and a dedicated outlet within 25 ft.
- Run the cord along the wall and gaffer-tape anything that crosses a walkway. Never duct tape; it leaves residue and venues bill for it.
Booth, light and camera checks
- Extend the stand, lock every joint, and sandbag tripod legs.
- Set the iPad center at about 55 to 60 inches from the floor for standing adults.
- Seat the iPad, lock the enclosure, and check that the camera lines up with the opening.
- Mount the light so its center is 6 to 10 inches above the lens, tilted down 10 to 15 degrees.
- Match the light to the room: around 3200 to 3800K under warm chandeliers, 4500 to 5000K in an office or conference center.
- Plug everything in and confirm the iPad shows "Charging."
- Turn the light on first, then lock exposure and white balance in the app so skin tones don't shift between guests.
- Check glare with a pair of clear prop glasses.
Software and sharing test
Open the booth app and load the event. Check the event name, overlay and date against the approved proof. Turn on Guided Access so guests can't leave the app.
Use venue Wi-Fi only if it has no login page and gives at least 5 Mbps upload. Otherwise, connect to your hotspot.
Run one photo, one GIF or boomerang, and one burst. Make sure the overlay doesn't cut off heads. Then share one each by QR, text, email and AirDrop to your own phone and confirm they arrive. If you're printing, print two tests and check color and cut.
A short excerpt of the final check:
- Booth set and powered by T-45
- All four sharing methods received
- Overlay names and date match the approved proof
- Guided Access on
- Every cord in a walkway taped or covered
Teardown in about 30 minutes
- Exit Guided Access and end the session. Don't close the app until the upload queue reads 0. If it won't clear, keep the iPad powered and on the hotspot, or let it finish on your home Wi-Fi.
- Power down the printer, then the light, then the iPad.
- Count props against your list.
- Case the iPad, collapse the stand and light, and coil cords over-under.
- Fold or roll the backdrop, pull all tape, and sweep for adapters and prop pieces.
- Load heavy items first and fragile items last, then check out with the venue contact.
Questions operators ask
Can I set up an iPad booth faster than this?
A practiced crew can build the booth in 20 to 30 minutes. Keep the full window anyway: it absorbs a far-away outlet, a captive Wi-Fi page or a moved booth spot without making guests wait.
What if there's no outlet within 25 feet?
Run a 50 ft heavy-duty extension cord taped down along the wall, or run the iPad on power banks. A printer, and any light without a battery option, still needs wall power.
Can the iPad booth run during the attendant's break?
In a quiet period, yes, if the event sheet allows it. Put out a "Back in 5 minutes" sign, keep Guided Access on, and time breaks with the client's contact so you don't miss a key moment.
What do I do when the venue dims the lights after dinner?
Raise your booth light's brightness and re-check a test shot. Only change white balance if skin tones have clearly shifted.
